Job Summary:
The Finance and Administrative Assistant is responsible for managing cash flow and making sure that internal controls are in place and reviewed regularly.
Key Duties and Responsibilities:
- Participate in the yearly financial planning; support the program team in preparation of proposal and operational budgets and translation of the program activities into figures.
- Ensure that all staffs are aware of the financial accountabilities; communicate financial expectations and provide constructive feedback on forecasts and expenditures.
- Timely review of the field office monthly financial reports and subsequent feedback to ensure timely submission to Finance/Compliance Officer.
- Prepare reimbursements; stays abreast on the latest development in tax and other related laws in the country.
- Monitor financial reports and project cost reports/invoices against budget and contract requirements.
- Perform year-end financial statements and ensure their compliance with donor requirements.
- Oversee the Logistics functions and ensure compliance with procurement procedures.
- Coordinate office activities and operations to ensure efficiency and compliance to company policies.
- Participate in internal audit exercises and support management in organizing documentation required for audit functions
- Manage petty cash at field Level to support continued operation of the CAFOMI field office in Kyangwali
- Liaise, coordinate, and network with peers from other agencies at the field office to ensure CAFOMI is well positioned and informed on finance and administration concerns.
- Ensure that staffs have adequate support to work efficiently.
- Organize, arrange and coordinate meetings.
- Manage all office equipment.
- Maintain a clean and enjoyable working environment.
- Undertake any other duty assigned by the supervisor from time to time.
Minimum Requirements (Must have)
- Bachelor‘s degree in business administration, finance, accounting, or any related discipline.
- 2 years’ experience in a similar role working in an accounting.
- Attention to detail and ability to plan and implement work plan with minimum supervision.
- Ability to work with large data with attention to details, work efficiently under tight deadlines /pressure.
- Ability to work as part of a team with culturally diverse professional staff.
- Excellent MS Office including Outlook, Word, Excel, and PowerPoint.
- Superior bookkeeping skills.
- Previous experience working in NGO and managing direct reports.
- Familiarity with accounting software preferable Quick Books.
